A reference letter is a letter usually written by supervisors or managers for an individual who leaving a company and searching for a job elsewhere, applying to admission to an educational program or is being considered for a new position or office. Reference letters describe the professional qualifications and achievements of the individual. They may mention pertinent personality traits, special recognition or promotions. Employees use reference letters as documentation of their job history and abilities, while students and others use reference letters as evidence of their academic success, dedication and relevant experience.Often, employees leave on good terms and have a positive history with the company. Employees may leave your company for several reasons, including:
•Moving
•Seeking advancement opportunities not available at your company
•Meeting family obligations
•Changing careers or industries
•Pursuing an advanced degree
1. Check with human resources
Before writing a reference letter, check with your company's human resources department to make sure company policy allows you to do so. Some organizations require all reference letters to come from HR or require HR to review your letter before sending it.Read more: Types of References and How to Get Them
2. Decide if you should write a reference letter
If the individual asking for a reference letter has not performed well or is leaving a company due to misconduct, consider whether you'll be able to offer an honest, positive review. If not, inform the individual as soon as possible that you cannot write the letter so they can ask someone else. You might respond with, "Thank you for considering me as a reference. However, due to the nature of your leaving our company, I am unable to provide a reference letter for you at this time. I wish you success in the future."If you can provide a positive reference, you should also let the individual know with a reply such as, "Thank you for considering me as a reference. I am happy to provide a reference letter for your future endeavors. Please send me any additional details you may have."
3. Confirm the due date
If an employee or student is asking for a reference letter for a specific position, ask if there is a firm deadline so you can complete your letter in plenty of time.
